How to Automate Sending and Following Up on Quotes
Sending a quote isn’t the end of the sales process — often it’s barely the halfway point. The other half is follow-up: confirming it was received, answering questions, and reaching out again if there’s no reply after a few days. That follow-up is exactly what gets skipped most often when the sales team is busy closing other deals — and it’s also what costs the most lost opportunities.
Why follow-up falls through so often
It’s not a lack of interest from the sales team — it’s that manual follow-up depends on someone remembering to check, quote by quote, which ones are still unanswered and when it’s time to reach out again. As the volume of quotes sent grows, that manual follow-up becomes practically impossible to sustain consistently.
What can be automated
- Quote generation — from the opportunity’s information (product or service, quantity, terms), instead of building each one from scratch.
- Automatic delivery — by email or WhatsApp, as soon as it’s generated, with no delay.
- Receipt confirmation — an automatic message confirming the quote arrived and was seen.
- Scheduled follow-up — if there’s no reply within the defined window (say, 3 days), a follow-up message fires automatically.
- Handoff to a person — if there’s no reply after several automatic attempts, or if the customer shows real interest, the conversation gets routed to a salesperson.
How it’s implemented
- Standardize the quote format — so it can be generated automatically from data, instead of being built manually every time.
- Define follow-up timing — how many days to wait before the first reminder, and how many attempts to make in total.
- Connect the sales system to the delivery channel (email or WhatsApp), so the whole flow is automatic end to end.
The expected result
No quote goes without follow-up due to the sales team not having time. The system handles systematic follow-up, and people step in when the conversation actually progresses — not for the repetitive work of remembering to write again.
