How to Automate Processing Delivery Notes and Dispatch Slips

In logistics, every shipment usually generates its own paperwork: delivery notes, dispatch slips, proof of delivery. Processing those documents — reading them, verifying the information is correct, entering it into the system — is a task that repeats constantly and, in many operations, still gets done by hand.

Why this task takes up so much time

Volume is the main reason: in an operation with many daily shipments, the number of delivery notes and slips to process can be considerable. Each one requires opening the document, checking the data (recipient, contents, quantity), and entering it into the corresponding system — and any error in that manual process can cause problems down the line, like an incorrectly logged delivery.

How automatic processing works

  1. Document intake — the delivery note or slip arrives in whatever format is normally used (PDF, photo, scan).
  2. Automatic AI reading — the system extracts the key data: recipient, address, contents, quantity, date.
  3. Consistency check — the extracted information can be automatically cross-checked against the original order to catch discrepancies.
  4. Automatic entry — data gets loaded directly into the management system, with no manual transcription.
  5. Inconsistency alerts — if something doesn’t match (for example, the quantity on the delivery note doesn’t match the order), the system flags it for a person to review, instead of just entering the error.

What you gain from this

Beyond the time saved, automating this process reduces entry errors that later turn into complaints or confusion — a mistyped detail on a delivery note can end up as a wrong delivery or a complaint from a customer who actually did receive what they ordered.

The expected result

The team stops spending hours transcribing delivery notes and slips by hand, and the system ends up with more consistent, up-to-date information, with less room for human error in the process.
